1. Who we are
Unique Evolution Ltd (company number 14243073), trading as Trader Suite, is the data controller for the personal data described in this policy. We are committed to protecting it and to handling it in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
For any privacy question, or to exercise any of the rights in section 10, email privacy@tradersuite.online. Our postal details are at the end of this document.
2. What we collect
- Identity data — your name and username
- Contact data — email address and billing address
- Payment data — handled entirely by Stripe. We receive a token, the last four digits and the card brand. We never see or store your full card number.
- Transaction data — what you bought, when, and what you paid
- Licence and activation data — your licence keys, and the machine identifier and IP address our software sends when it checks a licence (see section 6)
- Technical data — IP address, browser and device type, operating system, and an approximate country or region derived from your IP
- Usage data — pages visited and how you move through the site
- Communications — support tickets, chat messages and emails you send us
- Marketing preferences — what you have opted into and out of
3. Why we use it, and our legal basis
- To perform our contract with you — creating your account, taking payment, delivering downloads, issuing and validating licences, and providing support.
- Legitimate interests — keeping the service secure, preventing fraud and licence abuse, understanding which products and pages are useful, and improving what we build. We balance these against your rights and stop if yours outweigh ours.
- Consent — marketing emails, and any non-essential cookie. You can withdraw consent at any time without affecting anything done before you withdrew it.
- Legal obligation — keeping accounting and tax records.
4. Who we share it with
We do not sell your personal data. We share it only with the suppliers who help us run the service, each of which is bound to use it only on our instructions:
- Stripe — payment processing and subscription billing (Ireland / USA)
- Resend — sending transactional and marketing email (USA)
- DigitalOcean — hosting our application and database (United Kingdom)
- Google — Analytics and AdSense, but only if you accept analytics or marketing cookies (see our Cookie Policy)
- Discord — only if you choose to join our community server
- Professional advisers — accountants and lawyers, where genuinely needed
- Authorities — HMRC, the ICO or others, where the law requires it
We also use Google Gemini to help draft blog articles and Unsplash for article images. Neither receives customer personal data.
5. Transfers outside the UK
Some of the suppliers above are based outside the UK, mainly in the United States. Where personal data leaves the UK we rely on the UK International Data Transfer Addendum to the EU Standard Contractual Clauses, or on an adequacy decision where one applies. You can ask us for details of the safeguards used for any particular transfer.
6. The licence check in our software
What our NinjaTrader software sends us
Our licensed indicators and strategies check that they are licensed before they will run. When they do, they send us three things: your licence key, the product code, and a machine identifier. Our server also records the IP address the request came from.
The machine identifier is a one-way hash built from your computer name, your Windows user name and your processor count. We cannot reverse it to recover those values, but because we store it against your licence it is still information about you, so we treat it as personal data.
We use it for one purpose only: to enforce the number of machines your licence allows, and to let your activation survive a software update. We do not use it to profile you, and it tells us nothing about your trading, your account or your positions.
Our legal basis is performance of the licence contract. You can ask us to release a machine slot, or to delete your activation records once your licence has ended, by emailing privacy@tradersuite.online.
Our software does not read your trades, your account balance, your broker credentials or any other file on your computer, and it does not transmit chart data to us.
7. Cookies and analytics
We use essential cookies to make the site work — signing you in, keeping your cart, and remembering your cookie choice. These do not need consent.
Analytics and advertising cookies (Google Analytics and Google AdSense) load only after you accept them in our cookie banner. If you decline, or ignore the banner, they are not loaded and no analytics or advertising cookie is set. You can change your mind at any time from the cookie settings link in the footer.
Full detail is in our Cookie Policy.
8. How long we keep it
- Account data — while your account is open, then 6 years after closure
- Order and payment records — 6 years, for tax and accounting
- Licence and activation records — while the licence is active, then 12 months
- Support conversations — 3 years
- Analytics data — 14 months
- Marketing preferences — until you withdraw consent, plus a suppression record so we do not email you again by mistake
9. Security
We use encryption in transit, hashed passwords, access controls and regular updates to protect your data. No system is perfectly secure, but if a breach ever affects your rights we will tell the ICO within 72 hours and tell you without undue delay where the law requires it.
10. Your rights
Under UK GDPR you can ask us to:
- Access — give you a copy of your personal data
- Rectify — correct anything inaccurate
- Erase — delete it, where we have no overriding reason to keep it
- Restrict — pause our use of it while a dispute is resolved
- Port — send it to you or another provider in a machine-readable format
- Object — to processing based on legitimate interests, and to direct marketing at any time
- Withdraw consent — at any time, for anything based on consent
Email privacy@tradersuite.online and we will respond within one month. There is no charge. We do not make any decision about you by automated means that produces a legal or similarly significant effect.
11. Complaints
Please come to us first at privacy@tradersuite.online. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
12. Changes to this policy
We may update this policy. The revision date at the top shows when it last changed, and we will tell you about significant changes by email or a notice on the site.
